How to Create Structure in Your Business

A lot of the issues with entrepreneurship and self-employed people are a lack of structure and systems. So, what you really want to do is, set up your day in a way that it makes sense with proper structure and systems in place. There are 4 key systems every entrepreneur should have in place and implement in their business.

The first one is an information system. Where do I track the information in my business?

The second one is planning. How do I plan my day my week, my month, and my year?

Thirdly, how do I act and deliver on my promises?

Lastly, time management. Which is very important.

When you start a business, there is no order and control. Why? Because you are the business. Every business owner who starts a business is the business. Business owners don’t seem to understand that the business consists of 5 key boxes.

Box 1 is marketing, box 2 is sales, box 3 is operations, box 4 is legalities and box 5 is management. Now, you must take your day and divide it into these 5 boxes.

Let’s say, for example, you start with the management box every morning from 08h00 – 09h00. You do the management of your business, i.e. administration, emails, etc.

Then from 09h00 – 11h00 you jump into your marketing box. Now you’re not the manager anymore, you’re the marketing employee.

From 11h00 – 13h00 you jump into the sales box and now you’re the sales employee.

From 13h00 – 15h00 you jump into the operations box and now you deliver the product or service.

Lastly, you jump back into the management box. What do you manage? You manage the other boxes of the day.

So, that’s a way to really view your business as an entity on its own with the visions that you need to operate, rather than have the mindset that you are the business.

You really must dig into your business to identify what is important to systemize. There are four basic systems that I use for all my clients.

The first system is the planning system. How will I plan my day, my week, and my year?

The second system is the information system. How do I track information daily to know that every service and product is in order and control?

The third one is using Google Sheets. This is a free tool available to everybody. This helps to track all the stuff that’s happening in your business that needs tracking.

The last system is your action and deliverable system. How will I take action? What are the steps for the action? How can I systemize that to deliver my product or my service?

In Summary

The key thing to remember is, it is very important to have proper structure and management systems in place in your business. This will ensure that you stay in control and have order.
